The tale of the broken link


What do you mean you can't find my document! The link says it was sent to the Records Center. "Send To" connections in SharePoint work pretty well, you set them up, send the document and SharePoint handles the rest. It uses the Document Id and Search to find it no matter where it ends up if you choose to leave a link behind. All this is well and good, where the unfinished business picks up is if that document gets deleted by a user or IM Policy nothing happens to that poor old link! So right after the item is deleted and before the next search crawl, SharePoint thinks the document still exists and it will try and show it to you and you get a 404 (if memory serves me correctly) but once there has been an incremental crawl in search the link performs a bit differently. It tries to find the document using the index and can't obviously, so it tells you it doesn't exist and has a button that returns you to the send to location as if that would help you any. So you say, I know that [expletive], that is why I am here... What do I do about it! Well there isn't too much you can do OOB but if you are using IM Policies to move the documents then you have some options. OOB you can set a 2nd stage retention policy to "Delete Permanently" after so long (however long you plan on retaining the document in the send to location) so the first stage will move the document and leave a link behind and then the second stage will delete the link.
